How to Work With a Staffing Agency (like Perfect Timing): A Guide for Job Seekers

Most people's first experience with a staffing agency is accidental. They apply to one job, hear from a recruiter they've never heard of, and end up in a temp role that lasts a few weeks. Working with a staffing agency is a relationship, not a transaction. The candidates who get the best roles through us tend to do the same handful of things, starting with two simple ones.

Step 1: Apply on Our Website

This is where everything begins. Before a recruiter can advocate and find you, you need to be in our system.

There are two ways in, and either works:

  • Apply to a specific job. If you see something on our job board that fits, apply directly to it. This tells us exactly what you're after and puts you in front of the recruiter working that role.
  • Use the Apply Now button. If nothing open is quite right today, apply anyway. The Apply Now button at the top of our job board submits a general application that gets you into our database for everything that comes next.

Applying is free. It always will be. Reputable staffing agencies are paid by the employer, never by the candidate — if anyone ever asks a job seeker for money to be placed, walk away and report them.

A note on what happens next. We wish we could have a conversation with every person who applies to us, and we can't. Our recruiters are working live client searches with real deadlines, and the volume of applications we receive makes individual outreach to everyone impossible. If you don't hear from us right away, it is not a rejection.

What applying does is get you on our list. When a client calls needing a bookkeeper in Petaluma or an executive assistant in San Francisco, we search the people who are already in our system. That's why applying matters even when nothing on the board is a perfect match today: the right role often shows up three weeks later, and we can only match you to it if you're already there.

Once you've applied, staying visible is the cheapest thing you can do for your search. Here's the order we'd recommend:

1. Bookmark our job board. New roles post here before they go anywhere else. You can search by keyword or filter by category, state, and city, and every listing shows the pay range, location, on-site or hybrid status, and whether it's temporary, temp-to-hire, or permanent — before you spend a minute applying. Getting the Most Out of the Relationship

Once you're in the door, a few things separate the candidates who get placed quickly from the ones who wait.

Treat the intake conversation like an interview

When a recruiter does reach out, you're not filling out paperwork. You're giving us the raw material we use to advocate for you. A recruiter who only knows your job titles can only pitch your job titles. A recruiter who knows you're a bookkeeper who taught yourself Sage, prefers a small office, and needs to be home by 4:30 for school pickup can find you something that actually fits.

Come prepared with an updated resume, honest salary expectations, your real availability, and a short list of what you will and won't compromise on. The more specific you are, the better our search gets.

Be honest about the boring logistics

Commute tolerance. Whether you're open to on-site, hybrid, or neither. Whether you're interviewing elsewhere. Whether you'd take a temp role while you look for something permanent.

None of this makes you a difficult candidate. What makes a candidate difficult is discovering on day two that the drive from Novato to Sonoma isn't sustainable, or that you accepted another offer last week and didn't mention it. We plan around real constraints happily. We can't plan around the ones we don't know about.

Say yes to temp work more often than you think you should

Temporary and temp-to-hire assignments are the most underrated path into a good company. They let you audit a workplace before committing, keep income coming in during a search, and fill gaps on your resume with real experience. A meaningful share of the temp placements we make turn into permanent offers — not because anyone planned it that way, but because the employer got to watch someone good work for a month and didn't want to let them go.

Stay in touch between roles

This is the single biggest difference between candidates who get called first and candidates who get called eventually. A short email every few weeks — new certification, changed availability, finished an assignment — keeps you near the top of a recruiter's mind. When a client calls at 8 a.m. needing someone by noon, we're not scrolling a database from the beginning. We're thinking of the people we heard from recently.

Apply first, follow us second, and stay in touch after that. Be specific about what you want and honest about your constraints. You may not hear from us the week you apply — but being in our system is what makes the call possible when the right role finally opens.
